Bulk Mail Information
Please be aware before printing and preparing non-profit bulk mail from SSU; there have been a few changes in the requirements by the USPS. These changes should be noted and adhered to for all bilk mail sent out from SSU, effective immediately.
Folded Self Mailer
These are the folder 8.5 x 11 sheets that are folded twice to form a letter size mail piece. The important things to remember when preparing these for bulk mailing are where the tabs belong and location of the folded edge.
- With one tab or wafer seal, the folded edge must be at the bottom of the mail piece. THe tab or wafer seal must be placed in the middle of the top edge of the piece.
- With two tabs or wafer seals, the folded edge may be at the top or bottom of the mail piece. The two tabs or wafer seals must be placed on the open edge, opposite the folded edge. Tabs should be placed with 1 inch of the edge on both sides.
- Un enveloped letter size mail-pieces prepared for automation rate Mailings must be secured (tabbed) to prevent an open edge from jamming high-speed processing equipment. Staples may be used ONLY on booklet-type mail-pieces to join the bound edge. The use of staples can impede or damage mail processing equipment, and so should be avoided.
Bulk Mail Requirements
The U.S. Postal Services has established new requirements that must be met before they will process bulk mailings from SSU. Please be sure your bulk mail is bundled and sorted to meet these guidelines before it is delivered to mail services.
Some things to remember when preparing Bulk Mail:
- 200 piece minimum
- Identical in size, weight, and content (May not contain personal information. University related courses, events, and department newsletters are acceptable at the bulk rate.)
- Bulk mail permit printed in right hand corner. Contact Reprographics if you need the image to place on your document
- Envelopes sealed or flaps tucked in
- Sorted into bundles by Zip Code, each secured with two thick rubber bands. Bundles should have a slip of paper on top that says which Zip Code it contains. The old "MIXED CALIFORNIA" and "MIXED STATE" bundles have been replaced by ADC ZIP CODE prefixes
- Allow enough time for processing by Mail Services. Bulk mail can take 3 days to process and deliver to the Post Office
- Please include a sample mail-piece, and a contact person in the department
Notice: A letter size piece is considered non-machinable if it does not conform to the preceding standards. The USPS will determine if a mail-piece is not automation-compatible, and apply a surcharge to the cost of the mailing.
