Taking Care of Post Occupancy Business

There is not much business to attend to after the student has vacated the Residential Community and officially checked out with the Housing Office. The most important item of business for the student would be finalizing their account, especially if money is owed to the University.

Room Inspections

Housing Staff will go into your son or daughter's suite/apartment after they move out and perform a room inspection. Any damages or excessive cleaning charges will be reconciled with the Room Condition form. If a Room Condition form was not submitted to Housing Services upon moving-in, the student will be responsible for any pre-existing damages. Notice of the excessive cleaning and damage charges will be mailed to the permanent address on file. Since a security deposit was not paid when the student moved in, all charges are financial obligations owed to the University and must be paid within thirty days of receiving the bill.

Forwarding Mail

The University will forward campus mail for two months after the student leaves the Residential Community. Bulk mail, such as magazines, will not be forwarded, so address changes with the various companies should be done as soon as possible. The student is responsible for updating their mailing address in PeopleSoft. To navigate to the student address, phone numbers, and e-mail address in PeopleSoft please go to: Home> SA Self Service> Personal Portfolio> Tasks> Addresses> Phone numbers/E-mail addresses. This will ensure that all University documents reach them quickly. Housing Services will inactivate students campus addresses and phone numbers effective the date they officially check-out.

Finalizing Housing Account

A Housing Account Summary is mailed to the student when he or she moves out during the semester. This will summarize their housing charges for that semester's occupancy. Please allow ten business days to process their cancellation. Your son or daughter may check their student account by logging into PeopleSoft. Money owed to the University is due within 30 days and it usually takes 2-3 weeks to process a refund for overpayment. The initial reservation deposit submitted with the Housing License Agreement covers actual rent expenses; therefore, this deposit is not refundable.

References for Future Rentals

A student can use the Housing Office as a rental history reference for future tenancy off-campus. When the student completes an application for the new rental, they will sign a form authorizing Housing to release information about their occupancy. This usually includes length of stay and whether payments where made timely. The landlord will fax the request to Housing and we will return the information on our own form within 48 hours.
