Hire/Rehire Sign-up ProcessA sign-up orientation is required prior to beginning work for new Student Assistants or returning Student Assistants who have not worked at SSU within the past three years. The Student Assistant Sign-up page provides more details regarding the sign-up requirements and required forms. Upon completion of the sign-up, Employee Services will provide the student with an Employment Authorization and Checklist to submit to their Appropriate Administrator or Supervisor. This form authorizes the student to begin work and may be used as a guide for a department orientation on the student’s first day. Student Employment FormThe Student Employment Form (SEF) is required for all transactions (hire, rehire, job level/position change, pay increases and job code changes). New Student Assistants must bring the SEF along with the completed application and sign-up documents to the sign-up orientation. If a prior SSU Student Assistant does not need to attend an orientation, the Appropriate Administrator may forward the original SEF to Employee Services for approval or have the student deliver the form. Application for Student EmploymentNew hires must complete an Application for Student Assistant Employment (not required for rehires, pay increases, or job code changes). Advertising Student Assistant PositionsThe Office of Career Services (also known as the Career Center) provides assistance in advertising student positions. Their office is located in Salazar 1070, or you may reach them by calling (707) 664-2196. Employment Eligibility, Restrictions and Job CodesThere are five job codes for Student Assistants. Determining Initial Pay Rate & Pay IncreasesNew appointments are generally placed at the minimum of the appropriate pay range to allow growth within the range, and typically are never placed higher than the midpoint. Student Assistants may receive a pay increase for merit or a change in job responsibilities. Payroll VouchersStudents are required to keep track of their hours worked on the Student Assistant voucher and obtain necessary signature(s). Vouchers are available online at www.sonoma.edu/hs/payroll/. Student paychecks will be disbursed from Customer Services on the 15th of each month. Length of Assignment & Automatic End DatesAll student employment assignments are temporary, and can be terminated at the discretion of the hiring Appropriate Administrator. All Fall/Spring semester positions automatically terminate on the last day of the May pay period, if not sooner. Refer to the Student Employee Payroll Calendar for pay period dates. Separations and TerminationsFor separations other than those ending on the original scheduled end date, contact Emily Bawanan immediately to ensure final payment within the required 72 hours. Name and Withholding ChangesStudent Assistants who have a name or withholding allowance change should come to Employee Services, located in Salazar 2078, to complete the necessary paperwork. Address ChangesStudent Assistants who have an address change should log into PeopleSoft and navigate as follows: Self-Service> Student Center>Personal Information. The address type “Mailing” in PeopleSoft is the address used by Payroll and Financial Aid. |
