Placing a Call

  • Lift the handset and dial the number
    • For on campus: use the 5 digit extension, ex: IT Help Desk x44357)
    • For off campus: use 7 digit dialing, it is not necessary to dial 9 first with VoIP; ex: 5551212
    • For long distance: use area code and number; ex: 5105551212
  • Press a line key (green) and dial the number.
  • Press the speaker button and dial the number.
  • Begin dialing the number then press the dial softkey to complete dial
  • Begin dialing the number then lift the handset up to complete dial
  • Place first call on hold, press newCall softkey

Answering a Call

  • Lift the handset
  • Press the line button associated with the call. This will place the call on speaker phone until the handset is picked up
  • Press the answer softkey. This will place the call on speaker phone until the handset is picked up
  • Press the speaker button

Ending a Call

  • Hang up the headset
  • Press the line key (red) to hang up from a speaker phone call
  • If first call is placed on Hold, press endCall softkey

Muting a Call

  • Press the mute button when on a call
  • Press the mute button again to unmute the call

Placing a Call on Hold

  • To place a call on hold, press the Hold key
  • To return to a call on hold, press the Hold key again

Transferring a Call

  • During a call, press the xfer softkey. This automatically places the existing call on hold
  • Dial the number that you want to transfer to
    • When you hear ringing
      • For a cold transfer, press xfer again, or
      • For a warm transfer, when the party answers, announce the call and press xfer.
    • If the party refuses the call,
      • Press endCall and then the resume key to return to the original call.
  • Hang Up

Changing a Ring Tone

  • Press the setup button
  • Choose Ring Tone (#4) from the menu and press the "select" softkey
  • If you have multiple lines, choose the line you would like to change the ring tone for
  • Choose the desired ring tone and press the "select" softkey
  • To exit the menu, press the "cancel" softkey twice.

Changing Ringer Volume

  • Press the volume up/down button when not on a call

Changing in Call Volume

  • Press the volume up/down button while on a call

Checking Call History

Call History is where you can look up information on calls you have made or missed. You can also use this menu to redial these numbers. To use your call history:

  • Press Setup
  • Select Call History (#3), then select between
    • Redial List
    • Answered Calls
    • Missed Calls

Do Not Disturb

Do Not Disturb is a feature that will greet the caller with a message that you are busy and unable to take their call. It then forwards the call to VoiceMail. To place your phone on Do Not Disturb:

  • Press the cfwd softkey, or the line key (green), then press the dnd softkey to set phone on Do Not Disturb.

To remove your phone from Do Not Disturb:

  • Press the cfwd softkey, or the line key (green)
  • Then press the dnd softkey to turn off Do Not Distrub

Headsets

  • Headsets that are currently in use will still be usable on VoIP Phones
    • Headsets hooked up to the phone in this manner will not function with the headset button on the phone but with the normal operational buttons instead
  • New headsets can be purchased that will function with the headset button
    • You will need to buy a headset compatible with a 2.5mm headset jack

Navigating the Voicemail Portal

Using Voicemail

  • From your phone:
    • Press the voicemail button
    • Enter your password followed by the # key
    • Press 1 to listen to your voicemail
  • From another phone:
    • Dial your phone number
    • Press * when you reach the voicemail message
    • Enter your password followed by the # key
    • Press 1 to listen to your voicemail

Voice Mailbox Portal Options Main Option Menu:

  • 1 = To access your voice mailbox
    • 1 = To listen to your messages
      • # = Save message
      • 7 = Erase message
      • 2 = Repeat message
      • 5 = Play message envelope
      • 8 = To call back the caller
      • 9 = Additional options
        • 1 = Reply to message
        • 2 = To forward the message
        • * = Back to previous menu
    • 2 = To change your mailbox busy greeting
    • 3 = To change your mailbox no answer greeting
    • 5 = To compose and send a new message
    • 7 = To delete all messages
    • * = Go back to main menu
    • # = Repeat menu
  • 3 = To record your name
    • 1 = To record a new name
    • 2 = To play the current name
    • * = To go back to previous menu
    • # = Repeat menu
  • 4 = To change your call forwarding
    • 1 = Activate
    • 2 = Deactivate call forwarding
    • 3 = Change forwarding destination
    • 4 = Forwarding status
    • * = To go back to previous menu
    • # = Repeat menu
  • 8 = To change your pass-code
    • (Right away it will ask to input a new password)
    • * = To go back to main menu
  • 9 = To Exit
