Production Assistant
Administrative Support Coordinator - Level I

Position
Working under the general direction of the Production Manager and with additional direction from the Artistic Director, the Production Assistant serves as a scheduling coordinator for the Center for Performing Arts (CPA) presentations and activities. The Production Assistant, working closely with students, faculty, and external users, is responsible for the overall scheduling of the facilities for performing arts venues; and updates and maintains schedules for classes, rehearsals, performances, rentals, and other events as needed, including those that arise unexpectedly. Working with the Artistic Director and Department Chairs, the Production Assistant gathers information for upcoming performance seasons; determines rehearsal and performance-related dates and times for each semester; sets up the technicians schedules to provide technical support for CPA and non-CPA activities; coordinates logistical details associated with providing instructional and technical support; and monitors the facilities to ensure they are prepared for each use. In addition, the Production Assistant maintains daily communication with the office of Conference and Events and Event Services for regular calendar updates; logs and tracks information; notifies the appropriate parties as scheduling conflicts arise; and ensures that off-campus rentals of the performing arts venues do not conflict with instructional activities. Other duties include administrative support and coordination for the offices of Music, Theatre Arts, and CPA, including phone and front-desk reception; attends meetings as required; and assists the Production Manager as requested. Normal hours of work will be assigned between Monday through Friday, 8:00 – 4:30 pm. Overtime, evening, and weekend hours may be assigned on an exceptional basis to meet operational needs.
Qualifications
A minimum of two years experience working in the performing arts field and one year experience with performance scheduling, events and other educational activities in a university setting are required. Demonstrated experience in providing a commitment to excellent customer service when working with the campus community, guest artists, and the community at large is required. Intermediate ability in Word, Excel, calendaring software, email, and Scheduling 25 software; and the ability to learn and apply new computer skills and applications quickly are required. The successful candidate will demonstrate a thorough, detailed knowledge of applicable university infrastructure, policies, and procedures; the ability to establish and maintain good working relationships with staff, faculty, students, artists, and community members; prioritize and multi-task in a fast-paced work environment with rapid change while meeting strict deadlines; apply independent judgment, discretion and initiative to problems and develop practical, thorough and at time creative solutions; detailed oriented; have the ability to apply independently a wide variety of a policies and procedures where specific guidelines may not exist; delegate as appropriate to student assistants; effective oral and written communication skills; work effectively as a productive team member; and adhere to strict confidentiality.

Salary and Benefits
The salary range is $16.20 to $24.30 an hour. Starting salary placement will not exceed the beginning of the range. This is an hourly intermittent, temporary, non-exempt position. Reappointment to this position is dependent upon the individual's performance as well as administrative and budgetary considerations. Benefits include vacation, sick, and holiday time earned in relation to hours worked.
