Administrative Support Coordinator II
School of Arts and Humanities
Position
Reporting to the Administrative Manager and under the day to day supervision of the department Chair, the Administrative Support Coordinator (ASC) performs varied administrative duties in support of the Music department and provides day to day administration of a program within the School of Arts and Humanities, Music Department. The ASC support includes, but is not limited to, correspondences and campus communications; acting liaison between staff and Chair; initiates faculty workload forms and reconciles; and is responsible for monitoring, tracking, reconciliation, and reporting of department funds. The ASC assists the Department Chair with the preparation of the program review and format of the program final report; maintains comprehensive files as required; updates and maintains the database of artist/agent contacts and performer resources; maintains a current inventory of the Music department supplies and equipment; recommends new department policies and procedures; and works closely with directors, purchasing, and vendors to facilitate specialized purchasing contracts. The ASC coordinates processes such as reappointment, Tenure and Promotion, Scholarship Awards, Academic Scheduling, and the Music Scholarship award process; and provides oversight of the day to day operations and work direction for student employees, with accountability for work results. The incumbent also serves as the main resource for faculty, staff, students, department, and community including artists, vendors, donors, agents, alumni and advisory groups, in diverse and complex matters of policy, procedure, and practice by providing information, historical background, and rationales; and as the primary point of contact for festivals, competition and tour operators, participants, and vendors. Attends meetings as required.
Qualifications
Minimum educational requirements are a high school degree or technical/vocational program degree, and at least four years related, progressive office experience, or an equivalent combination of education and experience. Must have expertise in Microsoft Excel and Microsoft Word and an expertise in using a variety of office software packages including web publishing, technology and systems. Must possess strong critical thinking skills and excellent written and oral communication skills, including thorough mastery of English grammar, spelling, and punctuation. Requires the ability to understand problems from a broader perspective and anticipate the impact of office and administrative problems and decisions on other areas; ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the work area; ability to analyze operational and procedural problems, develop recommendations for solutions and evaluate effectiveness of solutions; ability to effectively write and present reports; ability to perform business math and to perform limited math analysis and make projections requiring some inference; ability to effectively handle interpersonal situations at all levels and to handle highly sensitive interpersonal situations, and to use negotiation and persuasion skills to achieve results and expedite projects. The incumbent must have the ability to learn, interpret independently, and apply a variety of complex policies and procedures; demonstrate the ability to maintain accurate records with a high level of attention to detail; ability to independently handle large, multiple work unit priorities, projects, and meet critical, cyclical deadlines in a timely manner. The incumbent must have the ability to work effectively both independently and as part of a team; solve problems using reasoning and judgment to develop practical, thorough, and creative solutions; prioritize multiple tasks to meet changing priorities; be detail oriented and possess strong organizational skills; possess experience responding with sensitivity to individuals from diverse backgrounds, and in maintaining good working relationships with faculty, staff and students; communicate effectively with the campus community; demonstrate competency in effectively presenting standard information in writing, and understanding, interpreting, and communicating procedures, policies, information, ideas and instructions; draft and compose correspondence and standard reports; and enter data by keyboarding approximately six hours a day. The incumbent must be able to provide outstanding customer service to students, staff, faculty, and visitors while working in a professional, fast-paced environment. May be required to meet the standards of the University Conflict of Interest policy if performing purchasing with a CCP card.

Salary and Benefits
The salary range is $3,074 to $4,615 a month. Starting salary placement is not expected to exceed the beginning of the range. This is a full time, non-exempt position, which will lead toward permanent status following the successful completion of a probationary period.
