What types of records search products are available at the NWIC?

  1. A Confidential records search is available to individuals who qualify for access to all information at a CHRIS Information Center (Section III, CHRIS Information Center Rules of Operation Manual.)
  2. A Non-confidential records search is available to individuals who do not qualify for direct access to confidential information. The NWIC staff conducts the research and the information is presented in one of two formats: checklist or narrative letter.
  3. Records searches that are routinely needed may also be arranged under a memorandum of agreement (MOA) or memorandum of understanding (MOU) between the NWIC and a local, state, or federal government agency, Native American tribe, or other interested parties and organizations.

Complete new CHRIS Access and Use Agreement

As of Friday, March 1, 2013, the CHRIS Information Centers require active Access and Use Agreements with their customers that wish to request Confidential Record Searches. For those requesting Non-Confidential Record Searches, requests via a MOA or MOU, or a landowner requests, the new Access and Use Agreement is not required.

  1. Complete new CHRIS Access and Use Agreement
  2. Provide completed Confidential Request form. For those areas the NWIC maintains in paper format, provide a copy of relevant portions(s) of a USGS 7.5’ topographic quad at original scale, with the project area and search area clearly marked (if email is used the map must be a PDF file.)
  3. For those areas the NWIC maintains electronically, provide shape files for the same two areas.
  4. Mail or email all the above to the NWIC

Delivery Time:

  • Regular Response Delivery time varies. Call the NWIC for an approximate timeframe.
  • Rapid Response Delivery time is usually 7 calendar days from date of receipt. This timeframe may also vary depending upon the size of your requested search area or the number of Rapid Response requests received prior to your submittal.

Applicable Fees:

  • A Non-Confidential Extended Records Search (also called by some a 'CHRIS Report') will provide you with a detailed narrative letter in which we summarize our findings and provide next-step recommendations for historical resources, related to your legal context. Please submit your request via mail or email. In order for us to process your request, the following items must be provided in the request:
    1. Who is asking/requiring you to conduct this records search (e.g., is the County or City asking you to come to our office, is your project subject to a federal permit, is a portion of your project using federal funds or grants?)
    2. The legal location information, e.g., street address, Assessor’s Parcel Number (APN), etc.
    3. A map showing the boundaries of your project. All components of the project should have their boundaries clearly indicated on either (1) a copy of USGS 7.5’ topographic quadrangle (2) a copy of aerial (satellite) imagery, or (3) gis data files in .shp, .kml, or.kmz format.
    4. A narrative description of your project. Please include information on any proposed or former ground disturbance and any current or former buildings. This information is vital in our ability to provide project-specific recommendations.
    5. Authorization for the NWIC to conduct research for up to 4 hours at either the NWIC regular rate ($150.00/hour) or NWIC rapid response rate (regular rate, plus 50% surcharge). The turnaround time for regular response is typically 15-20 business days and rapid response is typically about 5 business days. Please contact NWIC at time of submittal for current response timeframes.
    6. Any special billing instructions, e.g., purchase order number, etc.
  • A Non-Confidential Summary Records Search will provide you with a checklist letter in which known resources and the potential for additional resources are provided as well as next-step recommendations for historical resources. Results are briefly described in check-box choices.
    • Must be conducted under an MOA.

  • Regular Response Delivery time is up to forty-five (45) calendar days. Contact the NWIC for an approximate timeframe.
  • Rapid Response Delivery time is usually 7 calendar days from date of receipt. This timeframe may also vary depending upon the size of your requested search area or the number of Rapid Response requests received prior to your submittal.

California Department of Forestry and Fire Protection (CAL FIRE) Records Search Request

  1. Provide completed Archaeological Records Check Request Form for a Timber Harvest Plan (THP) or California Department of Forestry (CDF) Project (available from CDF.)
  2. Provide a copy of relevant portions(s) of the USGS 7.5’ topographic quad at original scale, with project area clearly marked (provide either a PDF file for a search in paper-format areas or shape-files for a search in electronic-format areas.)
  3. Mail or email all of the above to the NWIC.

Delivery Time:

  • Regular Response Delivery time is up to fourteen (14) calendar days. Contact the NWIC for an approximate timeframe.
  • Rapid Response Delivery time is usually three (3) calendar days from date of receipt. This timeframe may also vary depending upon the size of your requested search area or the number of Rapid Response requests received prior to your submittal.

Applicable Fees:

  1. Provide a cover letter with the following information:
    • An authorization by the landowner for the NWIC to copy record(s) and/or report(s) for the property. If these documents are to be sent to an agent of the landowner, then their name and address must be supplied in this letter.
    • Provide legal location information, i.e., street address, APN, etc.
    • Proof of ownership, i.e., most recent tax bill or deed.
  2. Provide a copy of the relevant portion(s) of the USGS 7.5’ topographic quad at original scale, with property boundary clearly marked (if emailing request, this map must be a PDF file.)
  3. Mail or email all of the above to the NWIC.

Delivery Time:

  • Delivery time is up to forty-five (45) calendar days, but is usually significantly less. Contact the NWIC for an approximate timeframe.
